Job Summary

The ODEI WCTF / WOCAP program coordinator position presents an exciting opportunity to assist in the planning, development, implementation, and evaluation of programs and activities that support two long-standing organizations that support women of color at the University of Michigan. The program coordinator provides administrative and programmatic support to the Women of Color Task Force (WCTF) and the Women of Color in the Academy Project (WOCAP). These two organizations are sponsored by the Office of Diversity, Equity and Inclusion (ODEI).

The Women of Color Task Force (WCTF) is a University of Michigan staff organization, founded in 979, that provides professional development, networking, and training opportunities for employees, with a focus on addressing the needs of women of color staff. For more than 36 years, the WCTF has served as a support network and a forum for the exchange of information about the status of women of color staff at the University of Michigan.

The Women of Color in the Academy Project (WOCAP) is a campus-wide faculty network at U-M that supports scholarship focused on understanding the experiences of women of color in the academy and advocacy work to address the challenges and issues faced uniquely by women of color in the academy. To advance this scholarship and advocacy work, WOCAP provides professional development and a supportive and inclusive community that includes writing retreats, writing sessions, dinners, and other networking opportunities. WOCAP is open to all faculty who support or are actively engaged in this work.


 

Responsibilities

Administrative Coordination 40%

  • Provide administrative support for meetings for the WCTF Executive Team, the WOCAP Steering Committee, and both organizations’ membership meetings.
  • As required by the organizations’ leadership, coordinate meetings between leadership members and units or leaders on campus.
  • Assist with drafting communication materials.
  • Prepare minutes of meetings.
  • Track organization membership, and attendance at meetings and events.

Program Coordination 40%

  • Coordinate the scheduling of program facilities, equipment, and services for most events and meetings. Track payments and review financial results of events and meetings.
  • For larger events and meetings, as required by organization leadership, liaise with OUD’s office of events management, who will manage the events or meetings.
  • Under direction of the organizations’ leadership, develop event or meeting surveys, compile survey results and share with leadership.

Marketing and Communications 20%

  • As required for larger events, liaise with ODEI’s communications and marketing team to ensure timely promotion of events.
  • Develop content (events, announcements and other happenings) for use on DEI social media accounts.
  • As directed by organizations’ leadership, send promotional materials to potential members.
  • Under direction of organization leadership, coordinate preparation of newsletters, announcements, and other communications.
  • Identify and communicate opportunities for collaboration and event promotion among the two organizations, ODEI, and its units.

This position reports to the Administrator of ODEI, which is the administrative home of WCTF
and WOCAP. The work location will be a hybrid of in and out-of-office. Some hours will occur
in the evening, to accommodate the organizations’ events.


 

Required Qualifications

  • Bachelor’s degree, or equivalent combination of education and experience
  • Interest in, and awareness of, the issues facing women of color in the workplace and in higher education in particular.
  • Experience working with diverse communities.
  • Demonstrated experience with program and event planning.
  • Strong interpersonal skills along with excellent oral and written communication.
  • Attention to detail and superior organizational skills.
  • Ability and desire to work independently as well as be part of a team.
  • Competence using Microsoft Office Suite and Google tools, social media tools, and meeting scheduling software, ability and willingness to learn new technology tools and software as needed (e.g., Qualtrics).
